Hi Peter,

If a DMX install started out with the "Number of versions set to the default of -1 (keep all), and later was changed to "1", what is the easiest way to delete all of the old versions so they do not show up in searches?

Hi Rob,

It is done upon edit of the document. If I'm correct you don't even need to create a new version. Just click edit attributes .. and then finish and the 'DeleteOldVersions' should run.

Hi Peter,

I tried this procedure, and it worked, however I want to point out two observations:

When I edited the attributes of an item with two versions, the number of versions to keep was still set to "-1", which I assume is by design, since that was the original default value. So I changed it to "1" and clicked Finish (I changed nothing else).

When the item was refreshed, it now had a new Modified Date in the Grid View and in the Versions section of the Details pane. In other words, it appears as if I had actually modified the file somehow, rather than just changing the number of versions to keep. Not sure if this is by design, since it provides very misleading data, IMO.

I also suspect it would cause a subscription email to go out, which would be very confusing.

Can you recommend a more "behind the scenes" approach to changing this and eliminating the old versions. I guess I am asking you for a SQL Script.

Hi Rob,

Granted, the dates can be confusing. There are 2 dates in the record: Created and LastModified. I intended the first to be when the file was uploaded, and the latter when any meta data was adjusted. I guess to you it's more logical that the first refers to when the first version was uploaded and the second to when the last new version was uploaded.

Regarding the script: it is not scriptable as you also need to delete the physical files. I'll make a note of this and see if there's another way I could implement this.

Hi Peter,

On the dates, what confused me is both dates became the same after I went through the procedure of changing the number of versions to keep meta data for the file.

BTW, would this have caused a subscribed email to go out?

On asking for the SQL script I certainly did overlook the need to delete the physical file. Thanks for considering another method.

Rob,

Yes a notification would have been sent if you go through 'Edit Attributes'.

It is strange that both dates would change, and I will have to rethink the dates in the module again.
